Position Summary
The Executive Assistant reports to the Executive Director at the Hays Arts Council and plays a vital role in ensuring the smooth and efficient operation of the organization’s administrative and operational functions. A key expectation of this position is the ability to work with the general public, financials, and technology.
Position Description
Key Responsibilities (75%)
? Provide outstanding customer service to patrons at the gallery, during events, and in other communications.
? Support the day-to-day operations of the organization, including processing payments and financial transactions.
? Assist with the management of the Gift Gallery and art sales.
? Process new memberships, renewals, and donations.
? Record and reconcile financial transactions, accounts payable, and records.
? Maintain records for exhibitions, mailings, donors, and financials.
? Maintain the professional appearance and cleanliness of the Hays Arts Council facilities.
Additional Responsibilities (25%)
? Assist with implementing systems and processes to improve organizational efficiency.
? Manage office and operational supply needs, including ordering and inventory.
? Contribute to event and exhibition preparation, including setup, takedown, cleaning, and facility readiness.
? Support the Executive Director with the preparation of monthly and annual financial reports.
Job Requirements
Required Qualifications:
? High school diploma or equivalent.
? Proficiency in software such as Microsoft Office, QuickBooks, Adobe, and Point of Sale systems.
? Ability to work 32 hours per week, including at least two Saturdays per month and occasional evening events.
? Experience in financial management, visitor services, or administrative support.
Preferred Qualifications:
? Post-secondary education.
? Strong administrative, organizational, technological, and interpersonal skills with a high level of accuracy and attention to detail.
? Experience in financial management.
? Experience with sales or consignment management.
? Prior non-profit experience, including but not limited to working with a board of directors, tax status, and confidentiality.
Compensation & Benefits
? Part-time position (average 32 hours/week).
? $14–$16 per hour, commensurate with experience.
? Overtime at time-and-a-half for hours exceeding 40 per week (rare occurrence).
? Paid holidays for major federal holidays.

Founded in 1967, the HAC is proud to be Kansas' first community arts organization, and 35 years later (1998) a recipient of the Kansas Governor's Arts Award. What began as a completely volunteer organization with no office or gallery is now a thriving organization that owns two buildings in downtown Hays, providing art education,
exhibitions, and entertainment.
Programming now includes the Smoky Hill Art Competition & Exhibition, Five State Photography Competition & Exhibition, arts-in-education experiences for 12 area elementary schools, classes for children & adults, and seasonal community Art Walks.
